AI drafts. A person signs. Can you prove it?
“Did you tell your client?”
Clients, publishers and regulators increasingly expect professionals to say whether and how they use AI. In the EU, the AI Act adds transparency duties, and several professions already have guidance. Controvisto writes a plain-language disclosure with your own data: which tools, for what, which data never go in, who checks the result.
“Who checked it?”
Courts and clients have already received documents with citations invented by AI. When it happens, the question is always the same, and today the only answer is your word. The register puts it in writing, job by job: what was asked of the AI, who verified it, what was checked, and when.
“Did a human actually read this?”
An electronic signature says who signed, not that an AI-assisted text was reviewed. A document system stores files, but does not record AI use. The seal is the one thing that travels with the document: the recipient scans the QR code, sees who verified it and checks that the file has not been changed since.
How it works
Record the AI use in 30 seconds
Your internal job reference (never the client's name), document type, AI tool, what you asked. Then tick what you checked, from a list made for your profession: citations against the source, figures recalculated, quotes against the original, terminology.
Seal the PDF
Choose the final document: Controvisto prints the seal and QR code at the bottom of the last page, on your own computer, without uploading the file anywhere. The seal shows your name, your role and the date.
Anyone can verify
Whoever receives the document scans the QR code: they see who verified it and can check that the file is exactly the one that was sealed. Every day the fingerprints of the seals are timestamped with OpenTimestamps: nobody can change the date, not even us.

Also included: client disclosure written with your data, PDF job file for a client or an insurer, export to Excel, full change history, access log, roles (owner, professional, assistant), two-step verification, public revocation of a seal with the reason.

Questions
Does the seal guarantee the document is correct?
No. The seal says that an identified person verified the document and takes responsibility for it; it does not say who wrote it and does not certify the content. It is the same responsibility a professional already takes when signing.
Is it an electronic signature?
No. It is not a qualified or advanced electronic signature under the EU eIDAS Regulation, and it does not replace one. It proves who verified the document and that the file has not changed since it was sealed. You can seal a PDF that is also digitally signed.
Do my documents go to Controvisto?
No. The file stays on your computer: the program only calculates its fingerprint (SHA-256), a string from which the content cannot be reconstructed. The seal inside the PDF is also printed on your computer. In the register you write only an internal job reference, never the client's name.
Where is the data and how is it protected?
In a database in the European Union, with backups, under the GDPR. Each account sees only its own data; logging in requires a password and an authenticator-app code; each account opens on at most two devices; after more than 6 hours of inactivity the app code is needed again. For the register data you are the controller and Controvisto is the processor, under a data processing agreement (Art. 28 GDPR).
How long can a seal be verified?
At least 10 years, including after you cancel. Revoked seals show the revocation and its reason.
What happens on the free plan after 3 seals?
The counter resets on the first day of each month. If you need more, you can upgrade to Professional at any time; seals already issued are not affected.
Who is behind it?
Alessandro Richard, an Italian consultant (data protection officer, compliance models, management systems), registered innovation manager and author of books on the controlled use of AI. Controvisto grew out of his work with professional firms.
